CHCA Families,

We trust you are having a great summer so far. Your CHCA Leadership Team is hard at work preparing for the upcoming school year of 2021-2022. We wanted to communicate information that will be helpful to you as you are also getting ready for August.

We strongly encourage our families to stay connected through our school app, Facebook, Instagram, and make frequent visits to the CHCA website.

FACTS Tuition Accounts

The first tuition payment for 2021-2022 is due July 1st. Tuition can be paid through FACTS using a credit, debit, or checking account. If you prefer to pay with cash or check, you may drop your payment off to the church campus office or west campus office. Tuition is due by the 10th of the month to ensure no late charges are applied.

Student Fees

During the 2020-2021 school year, we began entering student fees into INOW. Student fees include testing fees, student activity fee, athletic fees, and other incidental fees. The Student Activity Fee is a required fee for 2021-2022, and if that fee was not paid with re-enrollment, the fee is now due. This needs to be paid by check or cash to the office. FACTS is not currently set up to receive payment for these fees. The CHCA Leadership team is exploring options to secure a platform to be the “one stop shop” for our families to have one central place to pay tuition and fees and access student gradebook information. Our plan is to implement this for the 2022-2023 school year.

Student activity fees will be used in a variety of ways on both campuses to continue providing programs like STAR Student, AR reading program, Pioneer Day, Super Reader Week, spring production, field trips, weekly chapel services, homecoming, Christmas Magnificent, field day, and student recognition events like NHS, Mu Alpha Theta, and more. For those who have paid their student activity fee, the student will also receive free admission to athletic events for all regular season games. A student activity card will be provided in the student packet at Family Orientation Night for those who have paid their fee up to that point. After this event, families will be given the student activity card at the time of payment.

Statements were mailed mid-June for those families that we do not have record of payment for the upcoming school year. If you believe you paid this fee, please provide the Finance Department a copy of the check and we will resolve your account. Please email Selena Dressler at dresslers@chbss.org.

Athletic Fees should be partially paid at the start of the season and paid in full by mid-season unless special arrangements have been made with the head coach or administration. For multi-sport athletes, fees for the 1st sport must be paid in full before moving on to the 2nd sport.

Schedules

Our CHCA Team is working to finalize the master teaching schedule to build student schedules. Our goal is to mail the finalized schedules for grades 9-12 after we return from the 4th of July holiday. Middle school students will receive schedules at Family Orientation night. If your student is returning to CHCA, they should know which core subjects (math, science, history, English) they are taking and can refer to the textbook list for the appropriate textbook required. Most, if not all, electives do not require a textbook.

Schedule Changes

Once you receive your student’s schedule, if you would like to request a schedule change, these requests will be done beginning the first week of school. There will be forms on each campus for 6-12th grade that must be completed for a schedule change to be considered. Our teachers are accustomed to changes to their class roster during the first week of school and will work with students to ensure they have all the information needed when they move out of one class and into another. Please hold your requests until the first week and encourage your student to listen for school announcements on where and when to pick up the change forms.

Textbooks

K2-5th grade: Textbooks are provided by CHCA and will be distributed for use in the classroom. Please refer to the classroom supply list on our website for school supplies needed.

6th-12th grade: Parents are responsible for the purchase of textbooks. We encourage you to check the CHCA website for the most up-to-date textbook list. Please note there has been a textbook change for high school Biology and Zoology. Students enrolled in these classes will pay a $10 supply fee in lieu of a textbook. Each student will be provided a notebook with the textbook included. We encourage all families to “like” the CHCA Buy, Sell, Trade Facebook group. You will find uniform pieces, textbooks, etc. on there for purchase. When selling and buying textbooks through the Facebook page, always refer to the most current textbook list and compare ISBN numbers to be certain that you are selling/purchasing books we currently use.

Both campuses maintain a donation closet. Please contact your campus for a time to stop by and look through the closet for specific uniform pieces. Those are available on a first come first served basis.

Textbooks can also be purchased through the Campus Bookstore (across from the University of South Alabama). Parents can browse their website by selecting CHCA as the school and then indicate the grade or subject needed. They have new and used textbooks. Some textbooks can be purchased on websites like Amazon. Please note that workbooks (middle school English, Bible workbooks, etc.) must be purchased new.

Summer Reading

Students in grades 6-12 are assigned summer reading. The complete list is available on our website. Students should begin reading now to have the book completed by the start of school. 6-8th grade students will have the opportunity to take an AR test on their summer reading book once they return to campus.

Supply Lists

Supply Lists for each grade are available on our website.

High School students should arrive on campus on the first day of school with at least a notebook and pen. Students will receive a class syllabus on the first day. There may be additional supplies recommended or required. The most important item to consider is the calculator. The TI-84 calculator is a small investment, but it will be the only calculator the student will need for all high school and college level math and science.

Uniforms

Students will be expected to be in uniform on the first day of school, and continuing each Monday-Thursday for K3-12th grade. Chapel uniform is expected for students in grades 1-12 on Thursdays (see the uniform guide on the website for details). Navy blazers and khaki pants do not have to be purchased at Zoghby’s. CHCA patches are available for purchase at Zoghby’s. On Fridays, students and teachers can wear spirit wear (CHCA shirt), jeans, and closed toed shoes. Our Warrior Club will be selling CHCA spirit wear at Family Orientation on August 5th.

PE Uniforms

Students in grades 3-8 are required to purchase PE uniforms to be worn daily. These uniforms are purchased through CHCA. We would ask that you pre-order by clicking on the link below. These orders will be filled and can be paid for and picked up at the Family Orientation on August 5th. Payments can be made with cash, check, or debit/credit cards at this event.

Throughout the year, should you need to purchase additional PE uniforms, there are order forms on the website and in the Church Campus office. We try and maintain stock but, on some occasions, we may have to order. For orders filled after Family Orientation, August 5th, payments will need to be made by check or cash.

YDL (Youth Development League for 1st-6th graders) Sports

Last year was a challenging year for YDL sports due to COVID. We are planning to resume our standard offerings of YDL Football, Volleyball, Basketball, Soccer, and Cheer. We are making plans to host YDL Sports Camps in July. Be looking for specific details in the weeks ahead. If you would be interesting in coaching or assisting one of our YDL sports teams, please contact the CHCA Athletic Department by emailing thomasa@chbss.org.

Family Orientation Night

Thursday, August 5th, we will host a Family Orientation Night in the Worship Center at Cottage Hill Baptist Church. The event will begin at 6:00 pm. Church Campus parents should check their email the afternoon of the event to find out who your student’s homeroom teacher will be for this school year. Parents will be able to pick up their student packet from the classroom at the conclusion of the night. If you do not receive the email, please stop by the Atrium desk to see our Registrar to ensure we have the correct email address on file.

West Campus parents will receive their student packets in the Atrium at the end of the night. Tables will be set up alphabetically.

All families will be in the Worship Center and can hear from the CHCA Leadership Team as we prepare for the start of school.

Pre-ordered PE uniforms will be available for pick on this night. Additional PE uniforms will be sold. The Warrior Club will have a booth set up allowing our families to purchase spirit items. We will also have our finance team and cafeteria manager available to assist with any questions you might have.

At the conclusion of the family event, church campus families will have the opportunity to drop off classroom supplies and meet their teacher. Teachers will begin their classroom presentations promptly at 7:15 pm. Elementary families should go directly to the classroom. The Warrior Club, cafeteria staff, and Administrators will remain on campus allowing time to purchase spirit items and ask any questions after Meet the Teacher.

Lunch Accounts

Each student will be assigned a lunch account. You can set up an online account once you have your student number. This number will be on the schedule you receive. (ex. S2421 Jane Doe) If you have multiple children, they can be linked to one account. You can make payments through this account with a debit/credit and set up automated payments if you would like. Prepaid accounts are preferred; however, if you send cash or checks for lunch payments, make sure you include your child’s name in the memo section of the check. The cafeteria will post monthly menus for all grade levels on the website. Items can be purchased a la carte, but a complete lunch will be $5 per day and includes a hot meal and drink. Students can bring their lunches, and the dining halls on both campuses have microwaves available.

Warrior Express

Make sure that the school has the best email to send communications. We will resume our weekly Warrior Express once the school year begins. This will be sent through email and will host important upcoming information about school activities.

At the conclusion of orientation in the Worship Center, preschool and elementary families will report directly to the assigned homeroom to receive packets and important classroom information from the teachers before visiting tables in the atrium.
MS/High School Families will visit tables in the atrium for Warrior Club, PE Uniforms (MS only) cafeteria, tuition. Middle school students will report to their homeroom classrooms at an assigned time to receive student packets and important classroom information.
